Shipping & Handling

All Gaia Republic orders are dispatched from our fulfilment centre in Fiji and shipped internationally via DHL Express Worldwide. Our dispatch team operates during business hours, Monday to Friday (Fiji Time), excluding weekends and public holidays.

In-stock orders are dispatched within 24 hours of being placed. Orders containing embroidery or customisation require additional production time before dispatch — see Section 2. Delivery timeframes may be affected by increased volumes or delays within the carrier network.

This Shipping & Handling Policy forms part of, and must be read together with, our Website Terms and Conditions. Please check your delivery details carefully before completing your order. If an error occurs, contact us immediately so we can investigate.

Where we ship

Gaia Republic currently ships to the following six destinations. All orders are sent from Fiji via DHL Express Worldwide.

*Estimated timeframes begin from the time the parcel is collected by DHL Express and exclude any time the parcel is held in customs. International duties and taxes are the responsibility of the recipient — see Section 4.

THE DETAIL

1 · Shipping & dispatch

All Gaia Republic orders are dispatched from our fulfilment centre in Fiji and shipped internationally via DHL Express Worldwide. We currently ship to Australia, New Zealand, Japan, Singapore, the Philippines, and the United States.

All in-stock orders — excluding pre-order and customised items — are dispatched within 24 hours of being placed, Monday to Friday (Fiji Time). Once dispatched, delivery time varies by destination, as shown in the rate table above. Once your order is dispatched, you will receive a confirmation email with carrier and tracking details.

2 · Customised & embroidered orders

Orders containing embroidery, logo application, or other customisation require an additional 8–10 business days of production time before dispatch. Where an order contains both customised and in-stock items, the full order ships together once customisation is complete — unless a split shipment is arranged with our team. Larger or team orders can coordinate split or staged shipments by contacting us directly before placing the order.

3 · Pre-order items

Orders containing pre-order items are processed as soon as stock arrives, based on the estimated date provided at the time of purchase. If an order contains both pre-order and in-stock items, the full order ships together once the pre-order item becomes available. You will receive an automated notification once your order has shipped.

4 · Customs, duties & taxes

As all orders are shipped internationally from Fiji, every shipment crosses a customs border. Customs regulations, import duties, taxes, and fees may apply and are determined by the destination country's customs authority. These charges are the responsibility of the recipient and are not included in the price of your order or your shipping cost.

Gaia Republic cannot predict or influence the amount charged for customs duties or taxes. We recommend contacting your local customs office for information on charges applicable to your order. Parcels may be delayed in customs; this time is outside our control and is not included in estimated delivery windows.

5 · Tracking & confirmation

A tracking number or link is provided for every order. Once your order is dispatched, you will receive a shipping confirmation email containing tracking details, which you can follow through our website or the DHL Express tracking system. Tracking information may take a short period to become active after dispatch.

6 · Lost or damaged parcels

We take great care to ensure orders arrive in perfect condition. If your parcel arrives damaged, or does not arrive, please contact us within 5 business days of the expected delivery date. We will open an investigation with the carrier and work toward a resolution — a replacement, refund, or insurance claim — in line with our Returns & Refund Policy.

7 · Returns & exchanges

If you need to return or exchange an item, please refer to our Returns & Exchanges Policy for eligibility criteria, timeframes, and any applicable conditions. Please note that customised and embroidered items are made to order and may not be eligible for return — review that policy before adding customisation to an order.

8 · Customer support

9 · Policy updates

This Shipping & Handling Policy is subject to change from time to time. Any revisions will be communicated through our website or by email. We recommend reviewing this policy periodically to stay informed of any changes.

10 · Delivery disclaimer

Once a parcel has been delivered to the nominated address, Gaia Republic takes no responsibility for any damage or theft that may occur. If you will not be present to accept delivery, or feel your address is unsafe for an unattended parcel, we recommend shipping to a work or practice address.

10.1 Using a work or practice address

When shipping to a clinic, practice, or business address, always include the level or suite number (for multi-storey buildings) and the business name. DHL Express will return parcels to sender if these details are unclear or incomplete.

10.2 Incorrect or incomplete addresses

We can arrange redelivery for parcels with an incorrect or incomplete address. A redelivery fee equal to the original delivery cost — plus any duties or taxes incurred on a returned parcel — will apply and may be deducted from any refund.

10.3 No guarantee of delivery time

Delivery timeframes are estimates provided by our carrier and cannot be guaranteed. Gaia Republic is not liable for delays that occur within the carrier network or in customs.
